If You Need Help Building These Systems
Get a hold of me, and we can have a conversation about how I can get these done for you!
You’re already using AI.
ChatGPT’s open. Maybe Claude. Maybe something someone in your LinkedIn feed swore would change your life.
And yet? You’re still buried. Still working late. Still can’t find time to breathe.
Here’s the thing - you’re not using AI wrong. You’re just not using it COMPLETELY.
Let me show you what I mean.
The Difference Between Using AI and Actually Getting Your Time Back
Most people treat AI like Google on steroids.
Type a question. Get an answer. Close the tab. Repeat tomorrow.
But that’s like buying a car and only sitting in the parking lot. Yeah, you’ve got the keys. But you’re not going anywhere.
Stop asking AI to do things once. Start teaching AI to do things FOREVER.
Look - when you ask ChatGPT to write an email, it writes the email. Great. But tomorrow? You’re typing the same request again. From scratch. Explaining your business. Your tone. Your style.
That’s not AI saving you time. That’s you doing the same work with extra steps.
The real move?
Build systems. Create templates. Teach AI your voice ONCE, then use it over and over.
Think about what you do every single week:
Answering the same customer questions
Writing proposals
Creating content for social
Sending follow-ups
Managing your calendar
If you’re explaining all this to AI fresh every time? You’re working just as hard as before. You’ve just traded one problem for another.
Where Everyone Gets Stuck
I see this constantly.
Someone figures out AI can write Instagram captions. Cool! They generate a post. Feel productive. Move on.
Next week? Same thing. Start from zero. Type it all out again.
Month later? “AI didn’t really save me time.”
But AI didn’t fail. YOUR APPROACH did.
The magic isn’t getting AI to do something once. The magic is building a system where AI does the SAME things repeatedly, automatically, in YOUR voice.
What Actually Works
Step 1: Find Your Repeating Tasks
What are you doing every week that takes 20+ minutes?
Your calendar knows. Your sent emails know. Your brain DEFINITELY knows.
Pick ONE task. Just one.
Step 2: Build The System
This is where people bail. “I don’t have time to set this up.”
But you’re gonna do this task 50 more times this year. Spend 30 minutes now. Save 15 minutes every time. That’s 12 hours back in your life.
Create a prompt template. Save it. Use it. Tweak it.
Give AI context about your business, your voice, your customers. ONE TIME. Then reference it every single time after.
Step 3: Stack Your Outputs
Stop treating every AI task like it’s isolated.
Draft your newsletter with AI. Then turn that newsletter into 5 social posts. Then create subject lines. Then write follow-up emails for people who didn’t open.
One input. Multiple outputs. THAT’S leverage.
Try This Right Now
The Audit:
Open your calendar from the past two weeks. Write down every task that:
Took more than 15 minutes
You’ve done before
Involves writing, organizing, or analyzing
Pick ONE.
Build Your System:
Don’t ask AI to do that task once. Ask AI to build you a SYSTEM for it.
Copy this:
“I need to [your task] every week. Help me create a reusable template/process for this. Ask me questions about my preferences, style, and typical scenarios so you can customize this for me.”
Answer the questions. Save that conversation. Bookmark it.
Next week? Start there. Not from zero.
The Multiplier:
After AI helps with your task, ask:
“What else could we create from this? What other formats would be useful?”
Watch one piece of work become three. Or five. Or ten.
The Part Nobody Talks About
AI’s biggest superpower isn’t speed.
It’s MEMORY.
AI doesn’t forget your preferences. It doesn’t forget your last conversation. It doesn’t need you to re-explain your entire business model every single time.
You can build on what you did last week. Reference past conversations. Create a knowledge base that gets smarter every time you use it.
But most people treat every AI chat like meeting a stranger at a party.
Stop doing that.
You’re talking to the SAME tool. Teach it once. Build on it forever.
That’s where the hours come back.
Here’s The Real Talk
If AI isn’t saving you serious time, you’re not doing it wrong.
You’re just not going deep enough.
You’re scratching the surface when you could be 10 feet down. You’re having one-night stands with AI when you should be married to it.
The tool works. But ONLY if you set it up to work FOR you, not just WITH you.
Stop starting over every single time.
Build systems. Save templates. Stack your outputs.
Because AI isn’t supposed to be another thing on your to-do list.
It’s supposed to CLEAR your to-do list.
Question for you: What’s ONE task you’re doing this week that you’ve done 100 times before?
That’s your starting point. That’s where AI stops being cute and starts giving you your LIFE back.
See you next Wednesday.
